Ticket Scanning Tips

Scanning tickets via your smart phone's camera is pretty easy but there are some tricks to make the process smooth and fast:
  • Move your camera close to the QR Code so that it fills about 80% of the screen. This will be around 12 inches from the QR Code
  • Keep your smart phone plugged into power if possible. Battery on a phone may only last a few hours if scanning hundreds of tickets
  • You can scan a QR Code on Paper or one displayed on a smart phone. You can also scan one that has been added to Apple Passbook

Scanning a QR Code printed on paper:
  • Lighting is very important. In the dark you should use a good light if possible to shine down on the QR Code. A flash light might not be good enough and can be a pain as it takes up an extra hand
  • In the dark, in general an iPhone does better than Android, usually because the camera in the phone isnt as good in low light on cheaper phones.

Scanning a QR Code presented on a phone:
  • This usually works well in the dark as the phone is lit and the QR code will scan easily. However if there are bright florescent lights you can get glare. Move the phone to an angle where glare on the phone is minimized (eg with the light source behind that phone)
  • In bright sunlight QR Codes may not scan as well because of glare. In these situations be sure to have a place to scan that is shaded. If need be you can even use a large cardboard box and scan the QR code inside the box (this is handy for outdoor festivals at dawn or dusk when glare is problematic)

When all else fails : Manual Check In
If your camera fails or you cannot scan a ticket then you can do it manually:
  • Click the "Yet to Arrive" link to display the list of ticket holder who have not arrived yet. 
  • Scroll through and find the ticket holder by name.
  • Press their name and choose "Yes" to check in
  • Their name will disappear from the list
  • TIP: Check that the reference code on the side matches the ticket to ensure they aren't using last year ticket.

What if i accidentally scan the wrong ticket or check in the wrong person
You can undo an accidental check in by:
  •  Press the "Total Guests" link on the app
  • Press the ticket purchaser
  • Press "Yes" to undo the check in
  • The ticket purchaser's name will disappear from the list

Multiple Ticket Scanning Staff

It is possible to have multiple devices used for ticket scanning. The system is designed to automatically update with the latest information whenever there is a change. For example: scan a ticket on one smart phone and within a few seconds all other smart phones and devices will update with the latest information.
This process requires internet access. If you are in an environment that has no internet access or wifi it is recommended that you only use one device for scanning otherwise a ticket holder could copy a ticket for a friend and it wouldn't be caught unless both people have their ticket scanned by the same person.
