On The Day

This tutorial gives some pointers on what you should prepare for on and before the day of your event. It includes how to check people in, how to give access to event staff, and preparing a printed guest list.

Checking in ticket holders

Ticket holders will arrive at your event with one of the following:
  1. With a ticket confirmation email on their phone
  2. With a printed ticket confirmation email
  3. Without a ticket confirmation email (but perhaps their ID)



What you will accept is up to you however you will need to check in the ticket holder and there are three ways to do this:

1. Ticket Scanning

Using the camera on your smart phone or tablet you can scan the QR code that the ticket confirmation email contains.
You will need to download the app to do this: iphone/ipad, android

Note: You can also use a standard QR Code reader application however it will be a little slower as it is accessing via the web.

2. Select by Lookup

By visiting gomobileevents.com on your phone/tablet you can check in ticket holders. This is especially useful if the ticket holder doesnt have the QR code for their ticket.

To quickly select a ticket holder start typing their name in the search window, when their name appears: press it.

The ticket holder may have bought multiple tickets, you can check in by selecting the names of the guests you are checking in

3. Printed Guest List

Sometimes it is easier to use a printed guest list (such as for night clubs). The pen and paper approach may be appropriate if you do not have access to a smart phone at the venue.

To print a guest list: select "Export" from the setup page and then choose the guest list

A csv file will be downloaded (you need to do this on your pc/mac) which can be opened from Microsoft Excel and then printed.

Setting up event staff

Event staff can be given individual logins to the GoMobile Events application. Permissions can be restricted so that access is limited. To add a user to your account:

Press "Users" from the Setup page

Press the + button in the top right corner to add a user

Username - This is the email address the user must type in to login. This allows them access to this event only. The email address can be fake as it is not verified.

Password - The password the user must enter.

Page Permissions
Tickets - Access to view the tickets page
Email - Access to email button on the tickets page
Budget - Access to view the budget page
Statistics - Access to view the statistics page
Setup - Access to view the setup page
Users - Access to the users page (from setup)
History - Acess to the history page (from setup)

Action Permissions
Add Event - Permission to add a new event
Edit Event - Permission to edit the current event details
Add Order - Permission to add a ticket order
Edit Budget - Permission to edit the budget
Check In - Permission to check in ticket holders
Undo Check In - Permission to undo check ins
Add User - Permission to add a user
Export  - Permission to the export menu page
